Softcom Limited is recruiting to fill the vacant position below: 

POSITION : Procurement and Admin Officer 

Description

  • A detail-oriented, thorough, and organized procurement & admin officer to oversee office day to day administrative duties, purchases and also develop new contracts. In this position, you will play a key role in procuring high-quality and cost-efficient supplies for our organization.
  • You will follow procurement procedures, maintain an updated list of inventory and incoming purchases and supplies, and be responsible for getting approvals for purchases.

Procurement Responsibilities

  • Maintain records of purchases, pricing, and other important data
  • Review and analyze all vendors/suppliers, supply, and price options
  • Develops plans for purchasing equipment, services and supplies
  • Negotiate the best deal for pricing and supply contracts
  • ensure that the products and supplies are high quality
  • Estimating and establishing cost parameters and budgets for purchases
  • Maintain accurate records of purchases and pricing
  • Create and maintain good relationships with vendors/suppliers
  • Making professional decisions in a fast-paced environment
  • Create and maintain inventory of all incoming and current supplies
  • Maintain and update list of suppliers and their qualifications, delivery times, and potential future development

Administrative Responsibilities:

  • Organize a filing system for important and confidential company documents
  • Answer queries by employees and clients
  • Maintain a company calendar and schedule appointments
  • Lease with vendors for repairs and maintenance
  • Distribute and store correspondence (e.g. letters, emails and packages)
  • Prepare reports and presentations with statistical data, as assigned
  • Manage office supplies stock and place orders
  • Prepare regular reports on expenses and office budgets
  • Maintain and update company databases
  • Arrange travel and accommodations
  • Schedule in-house and external events

 Qualifications

  • Bachelor’s degree in Business Administration, Accounting, or related field preferred
  • Knowledge and understanding of procurement processes, policy, and systems
  • 2 years previous experience as procurement and admin officer or related position
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel)
  • Ability to analyze problems and strategize for better solutions
  • Ability to negotiate, establish, and administer contracts.
