DESCRIPTION

Secretaries and administrators help to keep an organisation running smoothly, taking care of the administrative and organisational tasks that make the organisation function. The job title ‘administrator’ and ‘secretary’ can be used interchangeably to describe the same role. Assistant to the Secretary also helps the sole admistrator or secretary to achieve several organizational tasks and lessen the burden as well as filling the seat of the Secretary in absence.

Responsibilities

1. Answering calls, taking messages and handling correspondence 
2. Maintaining diaries and arranging appointments 
3. Typing, preparing and collating reports filing 
4. Organizing and servicing meetings (producing agendas and taking minutes) 
5. Managing databases 
6. Prioritizing workloads 
7. Implementing new procedures and administrative systems 
8. Liaising with relevant organizations and clients 
9. Logging or processing bills or expenses 
10. Managing reception and managing and greeting clients

Requirements and Skills

3. Organization and time management skills 
4. Attention to detail 
5. Negotiation skills 
6. Assertiveness 
7. Flexibility both in movement and organization 
8. The ability to be proactive and use your initiative: to see what needs doing and to do it 
9. The ability to use standard software packages (eg Microsoft Office)and to learn bespoke packages if required 
10. Ability to relocate where necessary

Minimum Qualification Requirements

BSc. Secretarial Studies- Second Class Honors (Higher Division) - 2.1, HND -Secretarial Studies or related field of Profession and course of study.
